Prior Notice for Booking of Facilities

Contributed by CHEW MUI FONG Current Situation: The teachers book the facilities before the announcement of the dates for various Oral exam / Listening Compre exam. When the in-charges of these internal / external exams announce the dates, the previous bookings are void, as these exam take priority. Improvement: These Oral / Listening Compre exam are conducted every year, using similar venues each time. These dates and venues should be announced earlier so that the staff can avoid booking these facilities. And the resource booking portal should block off the dates and venues to avoid the situation of forced cancellation.

Install light motion sensor

Contributed by ANG PECK HAI, THNG CHYE HOCK Current Situation: The admin block area L2 and L3 corridor near to study corner, so when teacher and student need to use for revision their homework before or after the class. The area there is a problem when weather is cloudy or start to rain, the area will become dark, the teacher and student for them is very difficult to conduct the homework revision The existing timer control for light is already fixed from 7pm to next following day 7am, so after the specific time is over then the light will turn off, the maintenance team will need standby or sometime have received call from user to turn on the timer switch again and is very troublesome. The maintenance team somehow busy somewhere and cannot turn up on time to attend user requested. Improvement: The ideally propose is to install the Light Photo sensor for the specific area, the advantage is that the Photo Sensor will detect the ambient lux condition, whenever the Lux resistance is to ...

Staff Awards Presentation

Contributed by SEOW PEI SHAN Current Situation: Recipients will only know they are 1 of the recipients during the presentation. Improvement: Might be good that recipients are informed in advance. Though is presented during Staff meeting where all Staff supposed to attend, EAS might have different reporting time. Just sharing my views, recipients might want to make special arrangement if he/she would like to receive the awards personally from Principal. As for the teachers, they might be out for official duties or on leave, he / she can informed his / her RO or HR in advance that he / she is unable to be there to receive the awards. This might help to make the presentation go smoothly.

Operating time Signage for side gate turnstile

Contributed by TAN CHOON HUI Current Situation: There is only signage for side gate opening hours but none for turnstile operating hours, some students keep saying ez link card doesn't work but after checking, they tap at the wrong timing cause they assume it's 24/7. Improvement: Students will know the operating hours of turnstile.

Booking of Special Rooms booked for events and exams

Contributed LIM GUAT HA Current Situation: ICs send out emails to all staff to inform them of rooms that are out of bounds because of exams (or other events). However, on the booking system for the dates that the rooms are out of bounds, the rooms are not booked / blocked off from the system. Improvement: Ensure that rooms that are booked for events/exams are actually booked in the booking system so that even when teachers forget about the email notification (OR forget the dates), they cannot book the rooms. It's happened that we sometimes forget and book the room in the morning, and then arrive at the room before lesson to realise it is out of bounds and cannot be used. Certainly tangible benefits to having such a systematic process in place. We used to do this in the past - booking administrator would send an email to alert all of over-riding their earlier booking - but this is no longer practised.

Pop up box in HRIS for Receipts of Claims for Dependents' medical costs

Contributed by TAN YAN YAN Current Situation: Previously, the Accounts officer has to email staff individually for submission of original receipts to Accounts for internal audit purposes. Improvement: HRIS system automatically prompts claimants to submit receipts for claims for spouse and dependent claims, this reduces the number of emails the Accounts officer has to send out for the purpose of audit checks, improving productivity and quality of control.

Hooks and Phone Holder in Toilet

Contributed by WONG YING TYNG Current Situation: There is only one hook available in the female toilets (possibly same for toilets school-wide), which is a bit inconvenient at times. When we get changed, we might have different set of clothing, as well as mask, tote bag etc to hang, 1 hook might not be enough. Sometimes female teachers bring phone into the toilet, it'll be good to have a phone holder because our clothing don't always have pockets. Improvement: We can consider adding more hooks to the toilets (behind the door or on the wall), as well as a flat surface phone/ small items holder.

Green Medical Records

Contributed by LEE XIN YING Current Situation: When teachers bring students out for outings as a class, they have to print the medical records from school portal, most of the time, these papers are chucked aside after use or placed into the recycling bin. Improvement: Can we print one copy, put in a clear folder, so that whichever teacher is bringing the class out can just take the copy from the GO, instead of printing from the portal? Post-COVID, I am sure we will see more outings (LSC...etc) so it will be helpful if we can have these list perhaps by class or even by CCA. No need to keep reprinting for RAM and whichever teacher who needs can easily access from the GO. *For illustrations purpose only.

PD Makan Makan

Contributed by DELINE VICTORIA LEW HUEY LAN. Current Situation: It is nice to have time set aside for PD groups to have breakfast together from 7.30am to 8.05am. Members come from different departments so it is a thoughtful gesture to dedicate time for a quick catch-up. However, these sessions usually mean long queues at Raymond's stall so there is not much time left for a proper catch-up Additionally, not all groups are able to 'dabao' breakfast or order in breakfast. Improvement: (1) Collate breakfast orders before the day and we can all pick and go by PD groups once we get to the canteen at 7.30am so it will save us time for a longer and more meaningful catch-up Or (2) Buffet style - eg. a choice of noodles or chee cheong fun and a side of fried tofu or fish fillet or veggies so staff can queue on both sides and it would be faster. * For illustration purpose only.

Improvement: Bird-proof our building by work with NUS researchers and/or other ornithologists: turn this problem into an inquiry project for staff. A separate essay will be sent to Wen Di for consideration. The gains (human and animal, learning, compassion...) are likely to make cost savings irrelevant. *UV film has been affixed on the glass panes of the stretch of windows on Level 4 that are in the common path of flight of the birds visiting our campus.  The film allows the birds to "see" the stretch of windows as a barrier, thus preventing any possible collision.  Birds are able to "see" UV light being reflected from the glass panes.  The School also consulted the expert from NUS on how to prevent birds from be...

Climbers Deterred

Current Situation: The turnstile structure makes it very easy for trespassers to enter or to climb out as the turnstile position effectively makes it a ladder on the outside as well as the inside of the school perimeter while the top of the frame is a smooth horizontal surface. Improvement: Add a barrier to the top of the turnstile frame.

Student admission number

Trace students' attendance (for Guzheng CCA)

Contributed by ZHANG RONG HUA Current Situation: 1. Set up google form which include all Guzheng CCA girls' name 2. Make QR code which link to the form and print it out 3. Display the QR code(paper) before CCA training at CCA training room 4. Students use their HP to scan the QR code, select her name, provide the reason of late coming if need be, then submit the form 5. Teachers and student lead can collect the information of attendance(including reason of late coming) immediately. Improvement: 1. Saving time:no need to make attendance one by one, save time and get more time for training 2. Quick and easy: it is quick and easy to scan, submit form and collect, analyse data quickly and easily. 3. Accurate: Goolge form generate time stamp automatically after form submitted. 4. No cheating: teacher prepared four different form code and randomly select one for scanning before every training session start. Workshop for parents (especially lower sec's)

Contributed by ONG LAY HONG Current Situation: Lower Sec parents, whose first child is enrolled into NYGH, may not be aware of the current stage of life their child is into (looking for self identity, etc) or the different stages of life. Improvement: I think the sharing by Nick to Sec 1 FTs on 21 April during Level Meeting is very useful to parents of lower sec students. Can consider having similar talk for parents to understand their children better as they may no longer treat parents/teachers as role model, etc.

Records of staff leave

Contributed by TAN KAH KEOW Current Situation: All types of staff leave are keyed in a single excel sheet. Only the current month's leaves are reflected. Improvement: Long term leaves such as maternity, hospitalisation leaves may stretch longer than 1 month. Eg staff may take maternity on Jan - April, however, her leave is only reflected in the Jan worksheet. It will be good if her leave is also captured in the subsequent month of Feb - April so that other staff is kept informed.

Install desk phone angle bar guard protection

Contributed by ANG PECK HAI, THNG CHYE HOCK Current Situation: If the student need help or would like to communicate their class teacher during lunch time or after class lesson, they will go to their respective teacher staff office using outside desk phone to make a call, the desk phone surrounding do not have guard protection , sometime they may be accidently drop the desk phone set onto the floor and cause damage to the phone. Improvement: The ideally propose is to install Desk phone barrier angle bar guard protection, so as to prevent the phone set drop onto the floor and caused damaged . The material using is recycle.

Renaming Ex-Dean's Room

Contributed by TAN GEK HOON, CHEW MUI FONG Current Situation: The office next to Math Dept is named as Dean's Room, as it was originally the office for Deans. Improvement: Would we want to consider renaming this room to Math Meeting Room? We are open to other names as well. As the school currently has no deans, it can be confusing for new colleagues to recognise the room from the name. Just a suggestion to keep the names of our rooms more updated.

Students' performance at WA1 and WA2

Improvement: The KM Comm (also including Soo Eng and Wan Cheng) will support the acad heads and YHs by preparing the list of 1. sec 1 to 4 students who are at risk after WA1 2. sec 1 to 3 students who are at risk after WA2 (Data Systems Unit to support regarding Sec 4 - see another IdEa put up) 3. Sharing of students' results analysis

Improvement: To better inform Exco of the performance of students' results and subjects' results, for early intervention strategies by the acad heads and YH teams, we (also including Wan Cheng and Soo Eng) would like to suggest the following: 1. Head/ICT & Ed Tech to physically present the analysis during the next available Exco meeting, after the analysis is done. 2. The Data Systems Unit to also carry out results analysis for the Sec 4, after their mid-year exam. And Head/ICT & Ed Tech to physically present the analysis during the next available Exco meeting, after the analysis is done.
