Digitalisation on Issuance & Return of Temporary Staff Passes

Improvement: A google form is created and uploaded into the iPad. The Temporary Staff passes are issued and returned by completing the google form. The relief teachers will be requested to complete the form in the iPad. No more issusing and returning of Temporary Staff Passes via hardcopy records.

HR Microsite

Improvement: The HR microsite is created to consolidate all the HR related tabs into 1 tab. It creates convenient to all staff. Staff can click on the microsite to find HR related information. With the new HR microsite, it created new digitalisation process like "Staff Movement".

Staff Movement Goes Online

Contributed by WONG BOON CHENG JUNITA Present Situation: If staff is absent (On leave, On course, On official duties) from School, staff, HODs, colleagues, HR, Admin, etc. have to write on the GO white board. Improvement: With the implementation of online staff movement, staff can fill up the information without make their way to GO white board. HODs, colleagues, HR, Admin, etc. helping the staff to fill up the information need not go to the GO white board to write too. It created a lot of conveniences to all staff.

Merging of data in HRIS with Time Attendance

Contributed by WONG BOON CHENG JUNITA Present Situation: HR Team has to open the HRIS, staff movement record book, Time Attendance to match the staff movement records. E.g. If they are absent from school, whether they have submitted their leave applications, etc.. Improvement: A program was created to allow the Time Attendance and HRIS to upload into the program. It will merge and match the data. The program will then flagged out details of staff who were absent from School but did not submit for any leave applications. The progam will help to save time spent on matching the data from different sources.

e-Record for outgoing mail

Improvement: e-form is created for all outgoing mail. Staff simply key in the details in the GO ipad and place their letters in a drawer designated for outgoing mail.

QR Code for quick updates

Contributed by TAN KAH KEOW, TAN YIN PHENG CHERYL Present Situation: Updates on school info (eg exam time-table etc) were distributed to canteen vendors in hardcopy on a regular basis. Improvement: A QR code was created specifically for canteen vendors to access school updates with a touch of button on their smartphone - quick and simple.

Signage at Koi Pond

Contributed by TEO CHIN IT Present Situation: Currently there is no signage at the Koi pond informing the students what are the expected behaviour there. As such, we have students petting the fishes and dipping their unsanitised hand into the pond. Some students are also feeding the fishes inappropriate foods. This will endanger the fishes and also contaminate the pond. Improvement: To install a signage / information board so that we can educate the students on what are the appropriate behaviour and be mindful of how to take care of public facilities so that everybody can enjoy it.

Safety of New Wing entrance to ground level "CAVE" sheltered space next to field (above ISH)

Contributed by ANG JOO LIAK Present Situation: The "step" at the entrance consist of a concrete slab resting on small "legs". If someone steps on the far edge, the slab can rotate about its "legs" and may cause the person to topple or someone walking behind may kick into the protuding part and injury her toes. Photos available on request. Improvement: The concrete slab should be fixed in position with a solid base to prevent accidental toppling and injuries.

Light sensor in female toilet - B2 New extension

Contributed by ANGELINE SEET SIEW PENG Present Situation: The female toilet at Basement 2 of the new extension - just outside the backdoor of the studio theatre. The light sensor is not activated until a person walks a few steps into the toilet. It can be a little unnerving as one is not sure if the light will come on at all. Improvement: Please angle the light sensor so that it captures the movement once a person takes one step into the toilet. Thank you.

Relaunching Staff PD Google Classroom

Improvement: Relaunch the existing "Innovative Educators @ NYGH" Google Classroom course into an all-encompassing "Reflective Practitioners @ NYGH" which will act as a one-stop portal for meaningful exchange of ideas, hosting of resources and conducting of professional learning for all staff in NYGH (not just teachers).

Tech and Cyberwellness tips on school TVs

Improvement: Get class tech and cyberwellness ambassadors to create digital posters which can be shared on the school TV screens. Content will be on tips on using PLDs and online safety and security.

Student PLD Name Label Design

Improvement: After the end of year exams, publicise a competition for students to design sticker name labels. Class Tech Ambassadors can help to organise and run this competition. Students can then use the winning designs to print name labels for themselves to ensure that their devices are identifiable.

Externable dispenser

Contributed by NG REI PING Present Situation: We have dispenser in lab that is fixed at a certain distance which sometimes when we want to make bigger volume of solution, it is not possible. Due to the length of the hose being too short. Improvement: I have already purchase a submersible pump attaching it to a tap.

Reorganizing Mindsports Leadership 2020

Present Situation: The current leadership structure for Mindsport does not credit the office bearers based on the amount of work or contribution to the CCA. This has been a problem for many years. Currently, all the section Captains take charge of the CCA sessions and sets up the playlist, deploy the players and coordinate with the teachers and coaches. The Captains perform the bulk of the leadership duties within the CCA. The President, V President and Treasurer seemed to be taking a back seat role and given the Covid-19 situation, do not have opportunities for whole CCA events. Improvement: From 2022, the proposal is for the Captains of each section in Mindsports to have both a primary and a secondary role. The primary role refers to their role as Captain of each section of the CCA. Their secondary role will be to represent the CCA as either President, V President, Secretary or Treasurer. Documenting the learning process in an SIA with padlets

Contributed by ANG JOO LIAK Present Situation: The learning process in an SIA (e.g. Science Innovation Arduino) may involve several stages over about 3 terms in the academic year. The Sec 3 students may keep their records, images & videos in notebooks or their iPads over time and may not be easily accessible to the teacher or other members of the team. Improvement: Padlets allow a convenient online platform to document the our students entire learning process, including research, use of design thinking process (empathize, define, ideate, create & test), links and images. The students' personal reflections are also captured. Each padlet can be easily organized and exported as a final PDF report of the SIA for assessment and as a portfolio item for each student. Contributed by SEOW PEI SHAN Present Situation: Ventilation is poor, hot and stuffy. Improvement: Install something for better ventilation or can have standing fans around. PE and CCAs are having their lessons / trainings there and personally I find it very hot and stuffy.
